Description

What will you be doing? 

 

The role of the Operations Support Specialist is to assist the District Service Quality Supervisor within a specific branch. The Operations Support Specialist will be overseeing the operation and the warehouse personnel within the facility.  This involves processing freight on the floor as needed, and shipment entries into our ERP system.    

 

This position will also supervise the IT component where customer enters shipping to ensure accuracy in shipment entries and working with brokers to ensure shipment moving in timely fashion.    

 

This position will operate on its own, as the Operations Manager is based in another branch and not locally present. Therefore, a problem-solving mindset is required, along with demonstrated experience in problem solving without constant supervision or guidance. 

Responsibilities

Directing operations and service of the branch: 

  • Work with Manager to establish work goals, strategy, and standards to be achieved by team 
  • Orient new staff members to the organization and department policies and procedures; review his/her position tasks and expectations of performance 
  • Cross train in other warehouse positions as needed 
  • Load and unload packages from processing stations / trailers 
  • Receiving, weighing, measuring, scanning, labeling, and shipping while adhering to all Safety and Security regulations 
  • Affixing labels to the packages; Scanning boxes from inbound staging area; Preparation of Bill of Ladings 
  • Sign for vendor packages as they arrive throughout the day 
  • Safety, upkeep, opening and closing, security, inspections etc.

 

Administrative tasks including: 

  • Print customs paperwork from the broker, confirm brokers received, accepted by customs, and make sure customs paperwork for the day 
  • Review strip sheet to prep work for inbound freight  
  • Print out Customer Commercial Invoices, apply PARS, fax off to different brokers, review PARS and confirm clear 
  • Monitor our ERP system to manage inbound shipment board  
  • Assist Billing with finalization of HAWBS (validating dims, confirm bill to account, ensure auto calculation, MAWB finalization) 
  • Weekly Reporting 
  • Complete Health & Safety compliance trainings as required 
  • Carry out other duties as appropriate and as assigned by his/her manager 

Experience

2+ years operations experience

 

Proficient in MS Office. Must be computer literate and able to process shipments into enterprise system 

 

Ability to handle multiple tasks in a fast-paced, constantly changing environment 

 

Flexibility for occasional shift change during peak season 

 

Nice to Have

 

2+ years’ experience supervising a team preferred 

 

Transportation or freight forwarding experience a plus 

Education

  • High School Degree or GED preferred
