The Operations Support Specialist will be overseeing the operation and the warehouse personnel within the Indianapolis, IN facility.  This role is responsible for directing operations, processing freight on the floor as needed, and shipment entries into our ERP system. 

This position will also supervise the IT component where customer enters shipping to ensure accuracy in shipment entries, and working with brokers to ensure shipment moving in timely fashion.  

This position will be working autonomously as the Operations Manager is not local and works out of another branch.  Therefore, a problem solving mindset is required, and experience problem solving independently.   


SHIFT:  5:00 PM – 1:30 AM EST, Monday - Friday



  • 2+ years’ experience leading/supervising a team
  • 2+ years’ Transportation or freight forwarding experience
  • Experience with software applications
  • Must be computer literate and able to process shipments into enterprise system
  • Proven ability to handle multiple issues, determine an effective solution, while meeting the customer service expectations
  • This is a physical, fast-paced position that involves continual lifting, lowering and sliding packages that typically weigh 25-35 lbs and may weigh up to 70 lbs
  • Must be able to work in varying temperature conditions during the seasons
  • Flexibility for occasional shift change during peak season


Day to Day Job Functions:

Freight Processing

  • Directing operations and service of the branch
  • Receiving, weighing, measuring, scanning, labeling, and shipping while adhering to all Safety and Security regulations
  • Load and unload packages from processing stations / trailers
  • Affixing labels to the packages
  • Scanning boxes from inbound staging area
  • Preparation of Bill of Ladings


  • Print customs paperwork from the broker, confirm brokers received, accepted by customs and make sure customs paperwork in order for the day
  • Review strip sheet to prep work for inbound freight
  • Print out Customer Commercial Invoices, apply PARS, fax off to individual brokers, review PARS and confirm clear
  • Monitor Beacon (ERP system) to manage inbound shipment board
  • Assist Billing with finalization of HAWBS (validating dims, confirm bill to account, ensure auto calculation, MAWB finalization)
  • Data entry inbound shipments into Beacon
  • Branch Ops Report once a week


Facility Management

  • Orient new staff members to the organization and department policies and procedures; review his/her position responsibilities and expectations of performance
  • Work with Manager to establish work goals, objectives and standards to be achieved by team
  • Safety, upkeep, opening and closing, security, inspections etc.
  • Make sure all of the equipment is up and running
  • Sign for vendor packages as they arrive throughout the day
  • Cross train in other warehouse positions as needed
  • Complete Health & Safety compliance training's as required
  • Carry out other duties as appropriate and as assigned by his/her Manager


Education and/ or Work Experience Requirements:

  • 2+ years’ experience leading/supervising a team
  • 2+ years’ Transportation or freight forwarding experience
  • High School Degree or GED preferred


Working Conditions:

Working conditions under which the job is performed include, but are not limited to concentrated visual or auditory attention, repetitive movements (i.e. labeling, scanning, typing, data entry), standing for extended periods of time, sitting for extended periods of time, heavy volume of paperwork, possible travel to local work and/or customer locations (advanced notice provided), heavy physical effort (i.e. lifting, pushing, pulling), walking, bending, working in various temperature conditions
