Admin Support Rep Air Ops

1.  Air Operations Administration

  • Processing invoices, expenses, reimbursements as well as ordering office supplies and making travel arrangements as well as itinerary management
  • Reconcile volumes and billing for Air Service Providers and Canada Post
  • Process purchase orders and invoicing; tracking and dispatching of specific requests.
  • Prepare written documentation such as, but not limited to, correspondence, reports, statements, and expense reports on a timely and accurate basis, utilizing appropriate computer software and standard formats.
  • Record keeping including developing and maintaining a well-organized file system that permits easy reference and retrieval of information
  • Calendar maintenance and ensuring alignment of calendars/expectations across National Air Operations team
  • Answer/direct calls, review and sort mail/faxes/e-mail identifying actions required and taking action where appropriate
  • Other duties as required
  • Will maintain high level of professionalism in dealing with all internal and external customers
  • Will ensure that all materials and discussions remain confidentia

 

2.  Revenue Vehicle Fuel Card systems

  • Co-ordinate the replacement of fuel cards with Field Operations
  • Update vendor databases with current fuel card and vehicle data
  • Track and maintain records for card replacements

 

3.  Interprovincial Fuel and Mileage Reporting (IFMR)

  • Co-ordinate weekly terminal reporting for IFMR system
  • Verify data and corrections with terminals
  • Prepare quarterly reporting to General Accounting

 

Qualifications:

 

  • Exemplifies and consistently demonstrates our core competencies of communication, innovation, change management, relationship building and leadership
  • Post-secondary education or equivalent work experience
  • Excellent knowledge of Microsoft Office Suite
  • Prior SAP experience is required
  • Ability to communicate effectively (written and verbal)
  • Excellent customer service skills
  • Creativity an asset
  • Ability to work with little supervision
  • Well-developed problem solving skills
  • Ability and disposition to take initiative
