Job Description

The HR team is looking for 2 Administrative Assistants to support the day-to-day activities for the HR leadership team.  The ideal candidates will work collaboratively to support a leadership team of 7 – 9 Directors / Senior Directors within the Human Resources function which include the following responsibilities indicated below:

Duties:

 

  • Provide full administration support to HR Leadership team members in day-to-day clerical and administrative activities
  • Prepare PowerPoint presentations, take departmental or key project meeting minutes and tracking of cross functional HR projects
  • Calendar maintenance and ensuring alignment of calendars for Senior Directors
  • Booking travel or any related changes
  • Coordinating meetings/scheduling of meetings and conference calls with internal and external stakeholders
  • For external meetings or larger internal meetings – Meeting preparation including coordinating schedules, invitations, agenda preparation, room booking, meeting set up, catering etc.
  • Record keeping including developing and maintaining a well-organized file system that permits easy reference and retrieval of information
  • Processing invoices, expenses, reimbursements as well as ordering office supplies
  • Invoice management / accruals for respective business units
  • Submitting and managing PO’s
  • Process, audit and approve expenses
  • Assist in the creation and maintenance of administrative systems to support HR functions (monthly reports and employee files)
  • Assist with special projects/initiatives
  • Provide administrative support for both onboarding and offboarding processes for new hires and departing employees e.g., ordering or returning their equipment, badges, etc.
  • Additional duties as required

 

Qualifications:

 

  • Exemplifies and consistently demonstrates our core competencies of communication, innovation, change management, relationship building and leadership
  • Minimum High School Diploma with relevant work experience, preference would be for college level administrative assistant certificate or
  • 3-4 years' experience supporting Senior Level Executives required
  • Advanced level of experience in MS Office, Word, Excel, PowerPoint, MS Teams
  • Project management experience, specifically in project tracking would be an asset
  • Proven ability to deal tactfully and decisively with sensitive client issues while maintaining the highest levels of customer service and confidentiality
  • Demonstrated ability to work under pressure, meet tight deadlines and effectively handle changing priorities
  • Previous experience with SAP would be an asset
  • Strong organizational skills, detail oriented, with the ability to prioritize competing demands
  • Excellent communication skills both verbal and written
  • Proven ability to maintain confidentiality of sensitive information
