Description

The coordinator insurance and risk will be responsible for maintaining the lease master file for terminals/airports/Retail Centres/Drop boxes and will always communicate with various internal and external customers, including operations, legal, EHS, finance, procurement, landlords, property managers, lost prevention, and facilities project managers to ensure a high level of productivity. 

Responsibilities

  • Process daily incoming and outgoing mails. 
  • Identify upcoming effective dates for Lease Extensions/Lease Ends. 
  • Request for Direction from Engineering and Operations regarding new lease term and list of work to be negotiated by Brookfield with the Landlords.
  • Chair the Bi-weekly Lease calls with Brookfield.
  • Coordinate Brookfield work concerning Purolator’s real estate and leasing portfolio: 9 airport licenses, 235 drop boxes, 249 active sites (owned and leased), and 28 US sites.
  • Prepare LOIs documentation for firm offers and review with Legal.
  • Support Finance with the 5-year budget forecast for Real Estate.
  • Process invoices and resolve any issues.
  • Update Lease fact sheets and distribute them by email to Accounts Payable, Finance, and Legal for accurate rent payments and certificate of insurance records.
  • Request Legal Counsel to draft/review legal documents that are being negotiated externally by Brookfield.
  • Inform Engineering of any closures and new terminals.
  • Circulate all Leasing documents for approval and signatures.
  • Manage proper filing per retention policy of all real estate leasing documents.
  • Request contact and banking information from new landlords and tenants.
  • Draft drop box agreements for Legal Counsel’s review before sending to Landlords.
  • Ensures integrity of BigE electronic filing system by scanning and uploading documents before filing.
  • Closely work with Altus for Property tax rebates.
  • Create a new property profile in BigE.
  • Faxing, shipping of real estate and leasing documents.
  • Supports US Leasing Team as needed.
  • Coordinate Facilities team bi-weekly meetings with Procurement, Health, and Safety, Brookfield as well as keeping minutes.
  • Monitor AIM Status and send a regular follow-up to Procurement, Finance, and Corporate Accounting.
  • Support the project managers in processing facilities and project invoices.
  • Prepare monthly accruals sheet to be submitted to Corporate Accounting.
  • Co-ordinates and schedules meetings and conference calls – including spontaneous, recurring, internal, and off-site.

Education

  • Degree or certificate from a Community College

Experience

  • Excellent communication and interpersonal skills.
  • 2-years minimum education/training.
  • 1 or more years of relationship management is an asset.
  • Strong decision-making skills.
  • Advanced knowledge in MS Office.
  • 1 or more years of negotiation skills.
  • 1 or more years of Knowledge with invoicing and dealing with AP, legal counsel, and outside vendors.
  • Ability to work with individuals in a position of authority and with multiple teams.
  • Knowledgeable in SAP/BigE.
  • Strong organizational skills. 
  • Time management skills.
  • Must possess a high level of discretion.
