  • Review and sort mail and email identifying actions required and taking action where appropriate.
  • Record keeping including developing and maintaining a well-organized file system that permits easy reference and retrieval of information.
  • Processing invoices, expenses, reimbursements as well as ordering office supplies and making travel arrangements as well as itinerary management.
  • Set up and maintain various reports on KPIs
  • Take internal client calls and action accordingly.
  • Coordinate meetings and conference calls and calendar management
  • Meeting preparation including, agendas, room preparation, equipment, etc.
  • Will maintain high level of professionalism in dealing with all internal and external clients.
  • Will ensure that all materials and discussions remain confidential.
  • Capture minutes, time keeping and active clarification during meetings
  • Independently follow up on stakeholder action items identified during meetings
  • Manage documentation repositories as assigned i.e. contract lifecycle management, document management systems
  • Maintain relationships with law firms and other vendors
  • Manage the legal department budget including accruals
  • Support the legal operations function for the legal department and champion a continuous improvement culture
  • Other duties as required.

  • Post-secondary education in legal administration, legal operations or equivalent work experience
  • Legal department experience
  • Excellent knowledge of Microsoft Office Suite
  • Ability to communicate effectively (written and verbal)
  • Excellent customer service skills
  • Self-starter who is resourceful and takes initiative
  • Ability to work with little supervision
  • Well-developed problem solving
